Challenge: BASF developed a propriety process, a workflow called Advanced Auctions that allows the procurement division to skillfully negotiate prices with suppliers and reach the most favorable price. The process was being executed manually and Excel Spreadsheets were being used as the main data store which resulted in inefficiency and slow performance of the process. Also, the size and scope of procurement activities were limited by the level of complexity and the volume of data that Microsoft Excel could handle.
The Global Procurement Division at BASF identified an opportunity to develop an application that digitizes and automates the processes and workflows followed during Advanced Auctions. Strategic Systems International was contracted based on our extensive experience in delivering comprehensive data-driven solutions to the international market.
Solution: Engineers at SSI developed a workflow application for the automation and digitization of Advanced Auction Process for the Global Procurement Division at BASF. The application provides seamless experience to its users enabling them to work through all the steps of the process within the application. The major features delivered are as follows:
Path Finder: This feature enables the user to discover right methods for the auction.
Datasheet Preparation: This feature enables the user to create product portfolio for the auction and provides the functionality that allows BASF user to collaborate to finalize the list.
RFQ Management: It enables the user to prepare the RFQ templates per supplier and also manage the RFQ coming from different suppliers.
Auction Management: The functionality required by BASF users as well as suppliers to run the onsite auction process.
Implementation: Implementation module enables the post-auction tracking of the approval and savings process when line items are awarded.
Results: The overall feedback from the client has been very encouraging. The client has managed to streamline the Automated Advanced Auction Process.
